Data Deletion Instructions

1Who this is for

• People who have messaged a business on WhatsApp (or another connected channel) where that business uses SirpiKit or EnvoySirpi to answer.
• Businesses that have connected a WhatsApp Business number or other channel to SirpiKit or EnvoySirpi.

2How to request deletion

Email platforms.admin@datasirpi.com with the subject line “Data deletion request” and include:

• If you messaged a business: the phone number (with country code) you messaged from, the business’s name or WhatsApp number, and roughly when you messaged.
• If you are a business: your workspace or business name and the WhatsApp number(s) or channel(s) concerned, sent from an email address registered as an administrator on that workspace.

We may ask you to confirm that you control the phone number or account before we delete anything, so that nobody can delete another person’s data.

3What we delete

When we act on your request, we delete the following from our systems:

• the text of your messages and the replies sent to you;
• files you sent (photos, documents);
• what the assistant remembered about you from earlier conversations;
• for a business, the connection credentials (such as WhatsApp access tokens) for the numbers you disconnect.

We keep a minimal record that a request was received and acted on, and, if you opted out, the fact that you opted out. Without that record, a business could message you again. We also keep anonymous counts of usage that do not identify you.

4How long we keep data

• Files you send are deleted automatically 30 days after they are received, unless the business has chosen a different period.
• Message text is kept for as long as the business that you messaged uses our service, or until you or the business asks us to delete it.
• The outcome of a conversation, usage figures and our security audit trail are kept without the message text.

5How long it takes

We will confirm your request by email and complete the deletion within 30 days, unless the law requires us to keep the data for longer. If so, we will tell you what we kept and why.

6Data received through Meta’s platforms

Datasirpi deletes data received through Meta’s APIs (including the WhatsApp Business Platform) when you ask us to, as described above. We do not use that data for advertising, and we do not sell it. Deleting data held by Datasirpi does not delete messages stored on your phone, in the business’s own WhatsApp app, or by Meta; to manage what Meta holds, see Meta’s own privacy settings and policies.
